On February 21, 2025, a Special Call Meeting was held to address the urgent need for repairs and improvements to baseball fields and multi-use courts within our community. This meeting, convened on short notice due to an initial unsuccessful bidding process, focused on selecting a contractor to undertake these vital projects. The meeting was attended by relevant officials responsible for overseeing community recreation facilities, and while no public comments were received, the discussions centered on ensuring these spaces are ready for the upcoming spring baseball season.
The primary focus of the meeting was the review and selection of bids received in a second bidding round. Two proposals were submitted, with Patent Construction emerging as the lowest responsible bidder at a total cost of $323,500. Enterprises G, Inc. submitted the next lowest bid at $469,732. McGill Associates certified the tabulation of bids to ensure accuracy and adherence to all requirements. Following a brief discussion, a motion was made and unanimously approved (all in favor) to award the contract to Patent Construction. This decision ensures that repairs can move forward without further delay, addressing critical issues impacting the usability of our recreational facilities.
Beyond contractor selection, a significant portion of the discussion revolved around the timeline for completion and the specific scope of work. Officials acknowledged the urgency to have at least the backstops installed on lower fields before the start of baseball games, even if other aspects like outfield fences might not be fully complete. A notable point of discussion concerned the extensive sidewalk repairs required, particularly around field five and at the multi-use courts – estimated to cover approximately 800-1,000 square feet. Due to concerns about potential long-term stability issues, a decision was made to patch damaged sections of the multi-use courts with asphalt rather than attempting a full concrete resurfacing. Patent Construction will conduct core sampling to assess the foundation stability before commencing sidewalk repairs, ensuring a sound and lasting solution.
Looking ahead, several key action items have been identified. Officials will formally award the contract to Patent Construction and are already in communication with them regarding project timelines and submittal documents, particularly concerning the backstop installations. Patent Construction will also be responsible for conducting core sampling to evaluate foundation stability prior to commencing sidewalk repairs. This Special Call Meeting successfully addressed a critical need within our community, paving the way for much-needed improvements to our baseball fields and multi-use courts.
